Decoding Dietitian Billing: Part 1 - Credentialing 📋 (NPI & CAQH Explained)

Decoding Dietitian Billing: Part 1 - Credentialing

Starting an insurance-based private practice is a massive milestone, but let’s be honest: staring down acronyms like NPI, CAQH, and CMS can make you feel like you are being forced to learn a completely foreign language. Is the fear of doing the credentialing paperwork wrong keeping you from seeing patients? 🛑

You are a clinical expert—you shouldn't need a translator just to figure out how to get paid. I’m Laura Poland, RDN, LD, and through my advocacy work as Ohio's Nutrition Service Payment Specialist, I've seen firsthand how challenging this system is. That is exactly why I'm here to help you navigate this maze and become an Insurance-Ready Dietitian!

In Part 1 of our "3 C's of Reimbursement" series, we are tackling the very first step: Credentialing.

Decoding Dietitian Billing – The 3 C’s to Reimbursement; Part 1: Credentialing

The path to building a profitable private practice is exciting. But let’s be honest: nothing drains that excitement faster than coming face-to-face with the “alphabet soup” of insurance billing.

Acronyms like NPI, CAQH, CPT®, and ICD-10 can make the journey to getting paid feel incredibly unclear and overwhelming. You are a highly trained clinical expert—you shouldn’t feel like you need a translator just to figure out how to get reimbursed for the care you provide.

If you are stepping into the world of insurance, understanding this language is non-negotiable. I know exactly how frustrating this learning curve can be, which is why we are going to clear the fog together. To make it simple, we are breaking down insurance billing into a clear, three-part framework: The 3 C’s (Credentialing, Contracting, and Coding).

Let’s start with Part One: Credentialing.

We will Decode Dietitian Billing - Part 2 Contracting

What is worse than an unpaid claim? Finding out you are "Out-of-Network" AFTER you’ve already treated the patient. 📉🤦‍♀️

One of the biggest traps I see dietitians fall into is assuming that once they are "credentialed," they are ready to bill. Not quite! I've seen too many brilliant clinicians lose out on revenue because they didn't realize they lacked an actual contract. You deserve to get paid for the expert care you provide.

In Part 2 of our billing series, we are covering the second "C": Contracting. This is where we actually seal the deal! We are covering: 🤝 The critical difference between Credentialing and Contracting. 🚪 What to do if an insurance "Panel" is closed. 📝 How to use a Letter of Intent (LOI) to highlight your niche and get in the door.

Now it’s time to seal the deal with Phase 2: Contracting.
